Clubs and Societies

How do I join an existing club or society?

For college-based societies, have a look at our clubs and societies page where you can get in touch with their respective contact person. For uni-wide societies, have a look at CUSU's (Cambridge University Students' Union) directory for a full outline of what societies you can join and their contact details, ranging from unicorns to advertising to engineering and board games.

Every Michaelmas term, CUSU and the SU host Freshers' Fairs that will introduce you to new societies and enable you to sign up. Societies usually operate through mailing lists, so those are the ones you'll want to sign up to.

How do I start a club or society?

The SU is very keen to help you set up a college-based club or society. Congrats on your creativity! According to our constitution, you must first elect a President, Secretary, and Treasurer, then provide us with a constitution of your own. You can find a short and easy constitution template here on our website. Email these to our sports and societies officer or vice president and you're ready to go!

Accessing forms and templates requires a login password, which is the same as the member's login for the college main website. Contact our internal communications officer if you have any trouble accessing the page.

What are the requirements for running a society?

This is the boring part, but you'll soon get started with the fun of running a society.

  1. As stated above, according to our constitution, you must first elect a President, Secretary, and Treasurer, then provide us with a constitution of your own. You can find a short and easy constitution template here on our website.

  2. In your constition, you are required to state when and how you will deliver your Annual General Meeting minutes to us (a yearly meeting in which you elect new officers). It is a condition for being a recognised society of Lucy Cavendish that you deliver your AGM minutes to us every year.

  3. You are also required to follow the funding guidelines put forward by the SU finance officer. If you would like funding for a specific term, it is encouraged that you hand in a termly budget, so that the SU can take your needs into account when making their own budget.

We have a sports and societies officer to help you get started, or you can reach out to the finance officer or vice president.

How can I apply for funding as a club and society?

The SU accepts funding proposals from all recognised clubs and societies. In order to be eligible for funding, you must first fulfill the requirements stated above. All proposals should follow the SU template and funding guidelines, and can only be discussed at open meetings.

Who on the committee will be reponsible for what in relation to the SU?

Based on our requirements above, we will rely on your executive committee to present us with a few things:

The President is ultimately responsible for sending us the constituion and any updates to it.

The treasurer is responsible for funding proposals and following the SU finance guidelines, as well as presenting termly budgets.

The secretary is responsible for sending the AGM minutes to the sports and societies officer or vice president once every year, which should include names and contact details for next year's elected committee.

Can several committee roles belong to the same person?

Yes, you can for example have a joint secretary/treasurer or president/secretary. In theory, you could take all roles for yourself, but remember that you will have more responsibilites toward the SU.

Can I have committee members from other colleges?

Yes, however: you will need to keep the executive committee (President/Secretary/Treasurer and Vice President if you have one) to Lucians only. We can sometimes make exceptions, for example if a past Lucian is joining a new college but still wants to contribute. In that case, send the vice-president an email.

Can I target members of other colleges/the university as my main target audience?

Not if you want to be a Lucy society using SU funding. If you want to start a university-wide society, have a look at this instead.

I am running a society: Is there any way to connect with other committees?

Yes! If you are part of an executive Lucy committee (in the role of President, Secretary, Treasurer), you should join the Lucy Clubs and Societies Execs Facebook group. This group is intended to help you coordinate with the SU and to collaborate with other execs.
